The following information and conditions are applicable to all bookings made with BIG4 Beacon Resort, Queenscliff. Please contact Guest Relations directly on 03 5258 1133 or book@beaconresort.com.au to discuss specific details about existing or potential reservations.

COVID-19 Cancellation Policy

In these uncertain times, everybody wants to know about holidays and cancellation policies. We promise we are not here to make money from cancellations. Our family is in the business of creating your family's holiday memories. So, we've torn up our cancellation policy. You can rest assured if COVID-19 gets in the way of your holiday plans, we will provide you with a full refund or credit for a future stay, right up to the day of your arrival. No cancellation fees and no strings attached. You can book your Beacon getaway with complete confidence that you will be looked after. We can't wait to welcome you soon.

BIG4 Beacon Resort - General Booking Terms & Conditions

  • Accommodation Occupancy Limits Up to the maximum occupancy as specified in your booking. (Refer to the advertised accommodation and site descriptions for further details, or contact Guest Relations.)
  • Accommodation Arrival / Departure Times
    • Check-In Time is available from 2pm; Check-Out is by 10am. 
    • Early Check-In Time and Extended Check-Out Time may be arranged with prior notice; however this is subject to availability. (Fee may apply.) 
    • Late Arrivals: Where your expected arrival time is after 7.00pm, please contact Guest Relations. 
  • Additional Overnight Fees apply for guests 2 years of age and over. Changes to your booking, including altering ages of infants/children, will affect the rate quoted.
  • Baby Facilities including cots, highchairs, bed rails and infant baths are available by request, free of charge. Infant bathroom including baby's bath, change table, nappy disposal and infant toilet located in 'A Road'
  • Bath towels and bedding including sheets, blankets/doonas, pillows and pillow cases, are provided to all accommodation beds. Additional towels are available on request for use in the pool. A linen hire service is available for caravan/camping sites. 
  • BIG4 Holiday Perks Membership must be valid at the time of arrival to receive discount and any In-Park Perks where applicable.
  • Bunk beds “Warning – due to the statistical chance of significant injury children under the age of 9 years are not permitted to use the top bunk; children must not play on top bunk.” (Australian Standards AS/NZS 4220:2003)
  • Bicycles, scooters, skateboards, skates and rollerblades are welcome to be ridden within the park under the following conditions: Helmets and safety gear must be worn at all times as the resort roads are classed as public roads and, as such, Local and Government road traffic rules and safety provisions apply; Please refrain from riding after dusk; maintain walking pace only; motorised scooters, bikes, etc are not permitted; and, children must be under direct parental supervision at all times. Riders/guardians must also abide by further park rules and conditions whilst riding within the park boundaries. 
  • Bike & Go-Kart Hire is available at from The Shop between 8am and 7pm (or dusk, whichever is first). Terms & Conditions regarding bike and go-kart hire can be found here.
  • BBQs Gas/electric hot plate BBQs are provided in the resort grounds for all guests use. Some accommodations have BBQs provided for private use - please check inclusions for details. Personal gas/electric BBQs are welcome and must be used in accordance with CFA Regulations. Charcoal/wood-fired BBQs/pits are not permitted.
  • Cancellation/Change and Refund Policy applicable to your booking varies according the rate booked and will be advised in your confirmation. BIG4 Beacon Resort offers the following options -
    • Early Bird Rate: Free cancellation is available until 30 days before arrival date. Date changes are permitted up to 30 days before arrival date, subject to availability and applicable rate changes. A fee up to the full reservation amount applies unless the vacancy is resold in its entirety. 
    • Best Daily Rate: Free cancellation available until 3 days before arrival date. Date changes are permitted up to 3 days before arrival date, subject to availability and applicable rate changes. A fee up to the full reservation amount applies for no shows, changes or cancellations made within 3 days of arrival unless the vacancy is resold in its entirety. BIG4 Members may cancel free until 10:00 AM on day of arrival.
    • Best Flexible Rate: Free cancellation is available until 10:00 AM on the day of arrival. Changes are permitted until 10:00 AM on the day of arrival, subject to availability and applicable rate changes. A fee equal to the full reservation amount applies for no shows, changes or cancellations after 10:00 AM unless the vacancy is resold in its entirety.
    • When booking via a third party agent or website, please refer to the cancellation details supplied by the third party at the time of booking.
    • Any changes made to your original booking within the policy terms, including altering dates, number of guests or updating ages of children may result in changes to the rate. Note: Additional person rates apply for any extra guests (two years of age and over) based on the available rate/package. No charge applies for infants 0-1years of age, inclusive.
  • Caravan/Camping Site Arrival / Departure Times:
    • Check-In Time is available from 12pm; Check-Out is by 11am. 
    • Early Check-In Time and Extended Check-Out Time may be arranged with prior notice; however this is subject to availability. (Fee may apply.) 
    • Late Arrivals: Where your expected arrival time is after 7.00pm, please contact Guest Relations. 
  • Caravan/Camping Site Occupancy Limits Up to 8 people, (maximum 4 adults) per site. Caravan/annexe (1) OR Tent(s) with a maximum floor space of 30 x 20ft (excluding veranda) may occupy no more than 2/3rds of your allocated site area. Drive through sites may have a gazebo or tent in addition to the primary caravan/annex (to a maximum of 2.4 x 2.4mt).  In consideration of guests staying at the site after you, please relocate additional tents every three days.
  • Car Parking 
    • Two Bedroom Apartments, Three Bedroom Beach House, Two Bedroom Villas and Three Bedroom Villas have two allocated parking spaces suitable for cars up to 6m in length. Studio Villas, Queenscliff Cabins, Banksia 2 Bedroom Cabins, Swan Bay Studio Cabins, Studio Apartments, One Bedroom Apartments and Hotel Rooms have one allocated parking space for cars less than 6m in length.  Powered Sites and Evergreen Camping Sites have one allocated parking space for cars less than 6m in length in addition to your caravan/tent.
    • Boom gate access will be provided for registered guests vehicles according to the allocated car parking space.
    • Boat/Trailer Parking
      • All boats, trailers and trucks exceeding 6m must reserve a free boat/trailer parking space within the resort or utilise the free parking available outside the resort boundaries. Limited spaces available - Bookings Essential. 
      • Please refer to the park map for Boat Parking location.
      • Due to safety and space restrictions, accommodation/site car parking spaces cannot be utilised for boats or trailers, regardless of size.
  • Children 15 years and under remain the responsibility of parents/guardians and must be supervised throughout the resort, including in the amenities. Guests 17 years and under are to be accompanied by a parent/guardian. 
  • CoutaKidz Activity Program
    • Free for all registered overnight guests
    • Suitable for pre-school aged children and older.
    • Our CoutaKidz Crew provide assistance with the activities, however children remain the responsibility of parents/guardians and children are free to come and go at their leisure. We ask you remain in the resort and contactable for the duration of the activity.
    • Children under 4 years of age are welcome, however must be accompanied by a parent/guardian.
    • Please ensure you register for CoutaKidz Activities prior to 7pm the day prior to avoid disappointment. During busy times, multiple sessions will be added.
    • BIG4 Beacon Resort reserves the right to cancel and/or change the activities without notice, at any time.

  • Fitness Studio/Gym:
    • Free access is available for overnight guests aged 16 years and over on completion of our Registration Form.
    • A refundable deposit for the access pass will be charged to your room/site account and voided on return of the pass.
    • If the pass is damaged, lost or not returned, no refund will be provided.

  • Guests agree all information they provide for their booking is true and correct.
  • GuestAssist Tablet Hire:
    • You are fully and solely responsible for any loss or damage of hire equipment and/or any accessories and you agree to pay up to $500.00 excess for any expenses.
    • BIG4 Beacon Resort shall have the right at any time during the hire period to retake possession of the equipment hired.
  • Loss and Damage Guests are responsible for all loss and damage that may occur during the period of their stay and authorise BIG4 Beacon Resort to debit the supplied credit card for (including but not limited to) the actual costs incurred or to be incurred by BIG4 Beacon Resort to rectify the Loss or Damage up to a maximum amount of $1000.00 without my prior or any other permission. "Loss or Damage" means all loss and damage caused by any act, omission, default or neglect (whether deliberate, intentional, reckless or accidental) of the guest, other registered guests, any person under the guest's control or any person with whom the guest is associated including, but not limited to, the following:
    • All loss or damage caused to the Accommodation that is beyond reasonable wear and tear;
    • All costs and expenses incurred or to be incurred by BIG4 Beacon Resort resulting from the guest's failure to abide by the Terms and Conditions of their stay;
    • All costs and expenses incurred or to be incurred by BIG4 Beacon Resort in making the repairs necessary to return the accommodation to a similar state it was in immediately prior to the Arrival Date;
    • All costs and expenses incurred or to be incurred by BIG4 Beacon Resort to repair or replace any missing or broken or damaged furnishings, plant, equipment, fixtures, fittings, utensils, appliances, utilities, stocks, floor coverings, blinds, linen and items in place or previously located in the Accommodation, whether they were lost, stolen or destroyed;
    • All costs and expenses incurred or to be incurred by BIG4 Beacon Resort for any additional cleaning of the accommodation required by reason of the guest's failure to maintain reasonable standards of cleanliness, tidiness and hygiene, including but not limited to:
    • Removing any excess soiling or excess rubbish;
    • Any foul odours including odours caused as a result of smoking in accommodation or the keeping of unauthorised pets in the accommodation; or
    • Rectifying or remedying any stains or ash, or burnt furnishings, equipment or other items caused as a result of smoking in non-smoking accommodation.
    • All third-party charges, costs or fees incurred by BIG4 Beacon Resort caused by the Guest's negligence, recklessness or misbehaviour, whether intentional or accidental; 
    • All costs and expenses incurred or to be incurred by BIG4 Beacon Resort for the guest's failure to return keys, gate passes or other access cards to BIG4 Beacon Resort at the time of departure; 
    • All unpaid charges owing by the guest to BIG4 Beacon Resort including extended accommodation, movie charges and telephone charges; 
    • All costs and expenses incurred by BIG4 Beacon Resort for any loss or damage caused by the guest's failure to safely secure the accommodation;
    • All costs and expenses incurred by BIG4 Beacon Resort for any theft by the guest, a person under the guest's control or with whom the guest is associated, of any furnishings, plant, equipment, fixtures, fittings, utensils, appliances, utilities, stocks, floor coverings, blinds, linen and items previously located or in place in the accommodation from the accommodation.
  • Non-Smoking All accommodation and facilities are non-smoking. Smoking is permitted within the resort, when outdoors. In accordance with Victorian State laws, no smoking is permitted within ten metres of children's play equipment.
  • Payment for your booking is dependant on on the rate you have chosen. Where a balance is payable, please choose 'contactless' payment prior to your arrival where possible by using VISA, MasterCard or BPay. Accounts may also be settled 7 days prior to arrival via BPAY®, Cheque or Australia Post Money Order or by prior arrangement if less than 7 days. Company accounts are also welcome by prior arrangement.
  • Pet Free Park - For the comfort of our guests, BIG4 Beacon Resort has a strict no dog policy, with the exception of medically required guide, companion, hearing or disability dogs.
  • Photo ID and a valid credit card may be requested on arrival.
  • Rates and minimum booking periods are subject to change without notice. The rate and minimum stay advised on making your reservation is based on the information you provide (such as dates and number/age of guests); this is guaranteed provided confirmation is received as requested. Changes to your reservation will require an amended quote. Please consider the Cancellation and Refund Policies when changing booking details. Additional person rates may apply for any extra guests (two years of age and over) based on the available rate/package. Infants under two years of age stay free.

  • Room Servicing All accommodation will receive a complimentary weekly service for stays of 8 nights or longer, including general clean and linen change. Daily servicing is available on request, (fee applies). 
  • Security BIG4 Beacon Resort is family orientated and, with this in mind, respectful behaviour and moderate noise levels are encouraged at all times to ensure enjoyment for all guests; an 11pm noise curfew is also in place. Failure to comply with this curfew may result in offenders being required to leave the property. It is recommended that all personal belongings are locked up and secure over night or whilst your site/unit is unoccupied. For 24 hour assistance, please use the intercom located at the reception door or phone the afterhours emergency contact number 03 5258 1133.
  • Site Allocations All bookings are pre-allocated according to the best availability; however site locations/numbers may change without notice at the discretion of management. Specific requests will be met wherever possible, however may not be guaranteed on every occasion. Please ensure you discuss your personal situation direct with our team when making your booking and we will do our very best to meet your requirements. (Note - "Site" refers to villas, apartments, cabins, powered sites and evergreen camping sites.)
  • Third Party Bookings, such as those made with travel agents and online travel websites (including but not limited to Booking.Com, Wotif.com, Agoda, etc) are made under the terms and conditions as provided by the agent/website. BIG4 Beacon Resort's General Terms and Conditions also apply, unless otherwise stated.
  • Visitors All visitors must be registered at reception prior to or on arrival. Day Visitors are welcome until 10pm. No fee applies, however use of resort facilities and activities are not permitted for insurance purposes. An Overnight Visitors Fee applies for additional overnight guests 2yrs & over, and includes cover for full access to all resort facilities and activities.
  • Yoga Classes
    • Yoga classes held at BIG4 Beacon Resort are provided free of charge for overnight registered guests and included as part of the Fitness Studio Membership. Casual visitors are welcome - $17.00 Fee Applies
    • Bookings are essential and must be made online at www.MudDaySpa.com.au or direct at reception at least 1 hour prior to the start of class or by 6pm the day prior where the class commences prior to 9am. Resort guests require a code to book for free online. Please contact reception.
    • BIG4 Beacon Resort and Mud Day Spa will make every possible effort to deliver classes and services on time as advertised. However, there may be times when a scheduled class is unable to be delivered.
    • BIG4 Beacon Resort and Mud Day Spa reserves the right to alter the class schedule at any time.
    • No late entry is permitted, so please ensure that you arrive before the scheduled class time.
    • BIG4 Beacon Resort and Mud Day Spa are not liable to refund, transfer or offer compensation of any kind for classes that are late, changed or cancelled for any reason, or if you are unable to attend a class you haven't pre-booked because it is full.
    • We understand that late class cancellations can sometimes be inevitable. As such,
      • If you have booked to attend a class and wish to cancel, you must contact us by phone between 8:00 AM until 6:00 PM daily, at least 60 minutes prior to commencement of class.
      • Where the class commences before 8:00 AM, cancellation must be made by 6:00 PM the day before.
      • Late Cancellations or No Shows: A penalty of $17.00 per participant per class applies.
